What Is CRM Software? How Does It Work?

September 20, 2021 By GISuser

Choosing a CRM system for the first time, it is easy to get lost in a variety of programs with a wide variety of functionality. Which crm development system is better? Should you buy an expensive and popular one right away or start with something simpler? What features should be and which won’t be useful?

The CRM Software is used to manage sales, marketing, and the work of customer support departments.

Customer relationship management system is an application software for organizations designed to automate strategies of interaction with customers (clients).

Simply put, a CRM system is a program that helps organize the process of communication with clients. Its main goal is to put things in order in affairs, to make work easier, faster and more convenient. Depending on the tasks, CRM can be installed on a computer or used as a cloud service. Most modern CRM systems also have a smartphone version.

How does a CRM system work

When a business is based on customer service, every detail must be controlled. Maintain a customer base and records of applications, communication history, monitor the progress of sales, fix the schedule of meetings and calls, assign tasks. In business, mass mailings are often used. In addition, companies need to monitor the work of employees, ensure communication between departments and conduct analytics.

Typically, these tasks involve email, chat, spreadsheets, calendar, task manager, and other programs.

What does a CRM system give? It performs all of the above functions by combining several services. Employees get rid of the need to switch between tabs and windows, all work is done in one program.

The main features of the CRM system:

  1. Organized customer base. All information about clients is presented in the form of visual cards. The history of calls, the content of negotiations, future meetings and calls, and upcoming tasks are recorded for each client. The customer base in CRM from DICEUS can be segmented according to various parameters. It excludes duplicate contacts. Most of the information is saved automatically, keeping manual data entry to a minimum.
  2. Automation. Working with CRM reduces time and helps automate routine tasks. Popular automation features include bulk mailing and template-based email and document creation.
  3. Management of the work of employees. In CRM, you can assign tasks, distribute them among performers, track progress, and prioritize tasks. A unified way of setting goals allows employees themselves not to forget or lose sight of anything.
  4. Sales management and analytics. The ability to track the stages of the sales funnel is one of the main advantages of CRM systems. Also, most CRMs provide for the creation of reports and functions for analytics, which can be customized individually for business tasks.

The ability of a CRM system to adapt to business tasks makes it versatile for various industries and companies of different sizes. Do not believe the prejudice that a CRM system is a program only for large businesses. In small companies, where employees often combine several positions, CRM will also prove to be an indispensable assistant.

CRM system for business

For CRM to be suitable for small businesses, it must be flexible in settings, inexpensive and as easy to use as possible.

How can a small business use a customer management system? For example, using CRM for a beauty salon, you can keep a record of customers, record the entire history of communication, mark the performed and preferred procedures. With the help of CRM, a beauty salon can congratulate clients on their birthday, remind them of the prescribed procedures, make targeted advertising of services and promotions. So, with just 2 clicks, you can select those clients who have not visited the salon for 3 months and send them a special offer.

Applying CRM for sales, you implement several tasks at once: you will be able to conveniently assign and distribute tasks, monitor the progress of their implementation, see the entire history of communication with each client, segment the base, manage and analyze sales funnels.
